Wedding Order Check Privacy Policy
Effective October 28, 2026
Wedding Order Check is a Chrome extension made by BirchKey Digital ("BirchKey") for formalwear stores that use SuitTracker. It checks a wedding party's measurements, attire and shipping details for problems before the store places its order. This policy explains what it reads, what it stores, and where.
What the extension reads, and where that stays
On SuitTracker pages, when someone clicks Validate or opens a member from the results, the extension reads the wedding party already shown on the page: names, roles, statuses, measurements, attire notes, delivery method and mailing address. It checks them in the browser. These details are not sent to BirchKey or anyone else.
It also reads the name of the person signed in to SuitTracker, from SuitTracker itself, so that a dismissed problem can show who dismissed it.
The extension only runs on SuitTracker (www.suittracker.app). It doesn't read other sites, browsing history, or anything outside SuitTracker's pages.
What is sent to BirchKey's service
The extension uses a small service run by BirchKey to keep each store's settings in one place for all its staff. Every request includes the store's SuitTracker organization ID. The service stores:
- The store's rules: the checks Validate runs, which hold no customer information. Changing them needs the store's edit password, which is sent when someone edits the rules and is stored only as a one-way hash.
- Dismissed problems: when staff mark a problem as fine, the wedding and membership ID numbers from SuitTracker, which check it was, a one-way fingerprint (hash) of the values that check looked at, the name of the staff member who dismissed it, and when. The measurements and address themselves are not sent. Dismissals are deleted automatically after about 13 months.
- Reports that SuitTracker looks changed: if the extension finds SuitTracker's pages laid out differently than it expects, it reports the store, which check failed, the field names it found (such as measurement names), and the extension's version, so BirchKey can fix it. Reports hold no customer information and are deleted after 30 days.
What is kept in the browser
The extension keeps a copy of the store's latest rules (so it still works if the service can't be reached), the store's organization ID, and, for a few minutes, the problems this browser just dismissed. These stay in the browser's extension storage.
What BirchKey doesn't do
- It doesn't sell or rent any data, or use it for advertising.
- It doesn't use analytics or tracking, and doesn't build profiles of people.
- It doesn't use the data for anything except running the extension, and fixing it when SuitTracker changes.
Who else handles it
BirchKey's service runs on Cloudflare, which handles its requests (including, as any web host does, the IP address they come from). Change reports are emailed to BirchKey through Resend. No customer information is in either. Nothing is shared with anyone else, except where the law requires it.
Changes and questions
If this policy changes, the new version will be posted here with a new effective date. Questions, or a request to delete a store's data: hello@birchkey.com.
